Treat receiving as part of the route

A 3PL cannot receive efficiently if the shipment arrives without a usable inbound plan. Before dispatch, confirm the receiving address, contact, hours, appointment rules, reference number, SKU list, carton or pallet count and expected arrival window. International freight may be complete while inventory is still unavailable for sale because the warehouse lacks the information needed to identify it.

Make the inbound data usable

Give the warehouse an inbound record that matches the physical goods: SKU, description, quantities, carton configuration, dimensions, weights, labels and any inspection, storage or fulfilment instructions. Use consistent identifiers across supplier packing data, freight documents and the warehouse notice. If cartons contain mixed SKUs, make that clear before arrival rather than leaving a receiver to infer the contents.

Plan the appointment and unload

Confirm whether the 3PL accepts loose cartons, floor-loaded containers, pallets, live unloads or appointment deliveries. Check equipment, floor loading, pallet quality, delivery references and any access restrictions. A booked domestic delivery is not the same as a confirmed receiving appointment. Make the service scope clear so the parties understand where transport ends and warehouse handling begins.

Capture receiving evidence

Request a practical confirmation: received quantity, visible exceptions, photos where appropriate, put-away status and the next action required. This creates a handoff record for purchasing, customer service and fulfilment. If an exception is found, compare the warehouse result with the supplier packing evidence and carrier delivery proof before assigning responsibility.
